Creating and managing event RSVP forms

The ACM allows syndicated calendar administrators to create RSVP forms that can be used to ask calendar visitors, and those planning to attend, a variety of questions. You can ask people why they wish to attend, get their contact information, or ask where they heard about the event. Any number of RSVP forms can be created and optionally attached to individual events, allowing for flexibility in collecting calendar user information.

Steps to implementing calendar event RSVP forms:

  1. Turn on RSVP capability on the Syndicated Calendar page.

  2. Create predefined RSVP forms on the page settings for the Syndicated Event page.

  3. Add RSVP forms to your syndicated events pages.

  4. Download RSVP responses to RSVP.xls file.

1. Syndicated Calendar - Configure RSVP feature

The RSVP option must be checked on the Syndicated Calendar page in order for the feature to work.

  1. Edit your Syndicated Calendar page.

  2. Complete the settings in the Event RSVP section.

  3. Save and submit the page for publication.

  4. Go to the Syndicated Manager and use the procedure below to configure the Syndicated Event page.

2.  Syndicated Event - Configure RSVP feature

  1. In the Syndication Manager, select Pages in the Syndication Type drop-down and click Manage Syndicated Page Settings.

  2. Edit the Syndicated Event page type.

  3. Complete the Predefined RSVP Forms section in order to make forms available for use on the actual Event pages.

  4. Click Save to save your changes. Now when ACM users create syndicated event pages, they can enable the RSVP feature and select one of your predefined RSVP forms or create a custom set of questions for each event.

3. Add RSVP forms to syndicated events

In the Syndication Manager, edit your syndicated calendar event pages and in the Event RSVP section, attach an RSVP form to the event.

4. Download RSVP responses

For each event that includes an RSVP form, the event coordinator can download the results submitted from the RSVP form on the event. For each question or piece of information requested on the RSVP form, there is a corresponding column created in the spreadsheet. Use this procedure to download the responses from an event's RSVP form.

  1. Go to the Syndication Manager and edit the desired Event.

  2. In the Event RSVP section, click Download. All accumulated responses are downloaded to a file called RSVP.xls. Responses are not erased so each time you download the file contains all accumulated responses to the RSVP questions.

  3. Edit the downloaded file and save it to a different name if you wish to retain it.
