The Document Manager provides extended functionality to the ACTIVE Content Management (ACM) system's Digital Asset Manager component. This extended functionality, when linked with the ACTIVE Citizen Request (ACR) system, provides a means for associating and managing digital assets in the ACM, with a Case File in the ACR. Assets related to the case can be uploaded/downloaded, added to one or more cases, or merged into a single PDF for printing or viewing on demand. The enhanced functionality with this feature allows users to save documents in multiple formats, including emails and HTML web content, as digital assets attached to a case.
Creation of a new case within the ACR generates a corresponding case folder of the same name in the Digital Asset Manager of the ACM. Using the Document Manager page, you can link the folder containing these cases so that users can vew the case folder content in the View Mode of the Document Manager.
The documents that can be added to a case folder include:
Original or scanned document files (doc, pdf, txt, xls, wpd, etc)
Email Threads - you can forward pertinent emails to a preconfigured email domain/address to be saved as part of a case folder. The Subject line includes the Case ID so that the email asset is assigned to the correct case folder.
Knowledgebase articles can also be attached to a case.
External web content in the form of HTML documents can be copy and pasted into an editor that then saves the content as a digital asset attached to the case folder.
The Document Manager provides a revision history for each of the items attached to a case folder and provides settings to limit the types of actions users can perform on the assets connected to the case.
In order for the Document Manager feature to work, the ACTIVE Content Manager (ACM) must be linked to the ACTIVE Citizen Request (ACR) system through a preconfigured webservice connection. The webservice link between the two systems allows the ACM and the ACR to pass Case information back and forth. It also allows the seemless integration and display of information from the ACM on ACR case screens.
